Incomplete Grades and GRO

  • When is it appropriate to receive an "incomplete" grade for a course?

Incomplete grades may be awarded only at the end of the term and only when all but a minor portion of the course work has been satisfactorily completed. "I" grades are not to be awarded when the student must repeat the course; in such a case, the grade of "E" must be assigned


After all the course work is completed, instructors must assign an appropriate final grade on a Change of Final Grade form and submit it to the Office of the Registrar (Administration Building, Room 305) for processing.


Effective Fall Semester 1977, "I" grades not removed within one year will revert to the failing grade of "E".


For undergraduate courses, the one-year limit may be extended for up to one additional year by the college. A request for an extension beyond 2 academic years of the original course enrollment requires approval by the University General Petition Committee [N.B. Petitions require instructor and dean's signatures.] (UAC).

  • What is a Grade Replacement Opportunity (GRO)?

If you earn a C, D or E in a course, you can GRO the class if you want to. You enroll for the exact same course a second time, file for GRO, and the first grade is taken out of your grade point average. It will, however, stay on your transcript. The grade you earn in the class the second time will be the grade calculated into your GPA, even if the grade is lower. You can GRO 3 classes, or 10 units, whichever comes first. (FYC)

  • How do I GRO a course?

Undergraduates who have not received a bachelor's degree from the University may replace only once courses in which they received the grades of C, D, or E. These courses may be replaced during any semester/term in which the courses are offered prior to completion of the bachelor's degree.


Use of this grading option is limited to courses with the same title and course number. GRO of Tier One courses will be limited to courses with the same title and subtitle, as well as the same course number.


Three courses not to exceed a maximum of 10 units may be replaced. Students must file a request with the Registrar within the first four weeks of the semester or the first week of a summer term, Presession, or Winter Session.


Grades earned in the first and second attempt will remain on the academic record, but the grade earned in the second attempt will be used in the grade point average, even if lower than the first attempt. In cases in which a student passes the first attempt, but fails the repeat attempt, the failing grade is calculated in the grade-point average; however the units earned in the first attempt may be applied toward degree requirements.


A repeat attempt grade of O or W will count as an attempt, but neither will replace the grade of the first attempt. A repeated course will replace only one previous grade. Credit by Exam, Grade by Exam, Independent Study, Correspondence Courses, and Pass/Fail courses may not be repeated under GRO.


The Registrar is not responsible for any changes made to courses (course cancellation, unit change, time change, etc.) by any other university office. It is the student's responsibility to notify the Office of the Registrar, Administration 210, of any change that may affect registration in the course being repeated. (UAC)
